Explore the analytics dashboard, track agent performance, conversation metrics, AI usage, and export detailed reports.
The Helpon Analytics module gives you a comprehensive view of how your chat operations are performing. Access it from Helpon → Analytics in your WordPress admin sidebar.
Analytics data is collected automatically from all conversations, whether handled by AI, live agents, or a combination. The dashboard aggregates data across all channels including the website widget, WhatsApp, Instagram, and Facebook Messenger.

Analytics data begins collecting from the moment the plugin is activated. Historical data before plugin activation is not available. The dashboard will populate as conversations occur on your site.
The analytics dashboard presents four key metric cards at the top, followed by trend charts and period comparison views. Each card shows the current value along with a percentage change from the previous period.
The dashboard supports period comparison, allowing you to compare metrics between two date ranges side-by-side. Select the comparison toggle at the top of the dashboard to enable this view. Trend charts display both periods overlaid so you can spot improvements or regressions at a glance.
Hover over any metric card for a tooltip breakdown. For example, hovering over "Total Conversations" shows the split between AI-handled, agent-handled, and hybrid conversations.
The Conversation Metrics tab provides a deep dive into all chat activity across your site. Access it via Helpon → Analytics → Conversations.

The Peak Hours Heatmap is a 7×24 grid (days of the week by hours of the day) that highlights when your visitors are most active. Darker cells indicate higher conversation volume. Use this to optimize your agent scheduling and ensure coverage during busy periods.
Helpon identifies returning visitors through browser fingerprinting, stored cookies, and CRM contact matching. If a visitor clears cookies but is later matched by email or phone in the CRM, they will be re-classified as returning.
Monitor individual agent productivity and quality from Helpon → Analytics → Agents. This tab shows a leaderboard-style table with key performance indicators for each agent.

Click on any agent row to drill into their individual performance page, which includes a timeline of activity, conversation history, and CSAT feedback details.
Configure performance thresholds in Helpon → Settings → Analytics → Alerts. You can set alerts for response time exceeding a target, CSAT dropping below a threshold, or agent idle time surpassing a limit. Alerts are sent via email or WordPress admin notification.
Track AI usage, costs, and quality from Helpon → Analytics → AI. This tab helps you understand how effectively the AI is handling conversations and how much it costs.

The Confidence Distribution chart visualizes how certain the AI is in its responses. A healthy distribution should show the majority of responses in the "High" confidence tier. If you see a large number of "Low" confidence responses, consider improving your Knowledge Base content or adjusting the AI temperature setting.
Monitor your token usage closely to avoid unexpected API costs. Set a monthly token budget in Helpon → Settings → AI → Usage Limits. When the budget is reached, AI will gracefully hand off to agents or display an offline message.
Customer satisfaction (CSAT) surveys are automatically sent at the end of each conversation when enabled. Access CSAT analytics from Helpon → Analytics → Satisfaction.
When a conversation ends (either by the visitor, agent, or auto-close timer), the visitor is prompted with a simple rating request. Helpon uses a 1-5 star rating system with an optional free-text feedback field.
The overall CSAT score is calculated as the average of all ratings received in the selected period. The score is displayed on a 1-5 scale, with an additional percentage value representing the proportion of 4-star and 5-star ratings (the "satisfied" percentage).
The Trend Over Time chart plots your daily or weekly CSAT average so you can spot dips linked to staffing changes, AI model updates, or high-traffic events. The Agent-Level CSAT breakdown shows each agent's individual score alongside their conversation count.
Customize the survey prompt text, timing delay, and whether the text feedback field is shown in Helpon → Settings → General → CSAT Survey. You can also disable surveys for AI-only conversations if desired.
The Real-Time dashboard provides a live view of current activity. Access it from Helpon → Analytics → Real-Time. All data on this page refreshes automatically every 10 seconds without requiring a page reload.
The Queue Depth indicator shows how many conversations are waiting to be assigned. When this number stays above zero for extended periods, it means agents are at capacity and you may need to enable AI auto-reply or add more agents to the schedule.
Enable browser push notifications in Helpon → Settings → Notifications to receive alerts when queue depth exceeds a threshold or when no agents are online during business hours.
All analytics views support flexible date ranges and multi-dimensional filters. The date picker and filter bar appear at the top of every analytics tab.
Select from the following presets or define a custom range using the calendar picker:

Filters can be combined. For example, you can view conversations from WhatsApp only, handled by a specific agent, tagged with "billing," within the last 7 days. All charts and tables update immediately when filters change.
Export your analytics data for external analysis, team reports, or compliance records. Navigate to Helpon → Analytics → Export or use the export button available on every analytics tab.
Choose the period you want to export using the date picker. Apply any filters (channel, agent, tag) to narrow the data set.
Select which data to export: Conversations, Agent Performance, AI Usage, or CSAT Ratings. Each generates a separate CSV with relevant columns.
Click the Export CSV button. The file downloads immediately to your browser. Large exports (over 10,000 rows) are processed in the background and you receive a download link via email.
Go to Helpon → Analytics → Export → PDF Report. Select the sections to include: Dashboard Summary, Conversation Metrics, Agent Performance, AI Usage, and CSAT Overview.
Add your company logo, choose a color theme, and optionally include a custom header or footer text. Select whether to include charts, tables, or both.
Click Generate PDF. The report is compiled server-side and downloads automatically. Reports are also saved under Export → Report History for 30 days.
Go to Helpon → Analytics → Export → Scheduled Reports. Click Add Schedule and choose the frequency: Daily, Weekly (select day), or Monthly (select date).
Enter one or more email addresses. Choose the report format (PDF, CSV, or both). Select which data sections to include in the automated report.
Toggle the schedule to Active. The first report will be sent on the next scheduled date. You can pause, edit, or delete schedules at any time from the list view.
For advanced use cases, the Custom Report Builder lets you pick individual metrics, group by dimensions (date, agent, channel, tag), and create saved report templates. Access it from Helpon → Analytics → Export → Custom Builder.

Scheduled reports use your WordPress email configuration (SMTP plugin recommended). Verify your email setup in Helpon → Settings → Email to ensure reports are delivered reliably. Reports larger than 10 MB are delivered as a download link instead of an attachment.
Common analytics issues and their solutions:
memory_limit in your php.ini if needed.wp-content/uploads/helpon/exports/ directory has write permissions (755 or 775).If your analytics dashboard consistently takes more than 5 seconds to load, run the database optimization tool or contact your hosting provider to ensure MySQL query caching is enabled. Very high-traffic sites (500+ conversations/day) may benefit from the Helpon Pro database optimization add-on.
